Overview
Billing data needed to be synchronized from Salesforce into Airtable so operational teams could manage service delivery effectively. The challenge extended beyond invoices and included payments, payment plans, payment activity, accounts, and contacts.
Each dataset required structured routing into the correct Airtable database depending on the service team responsible for delivery.
The Problem
Before automation, operational teams frequently requested billing information directly from the Billing team. This created:
- Constant back and forth communication
- Delays in invoice visibility
- Manual exports and reconciliation
- Interruptions for the Billing team
- Reduced focus on customer service for both sides
On average, billing related clarifications and data pulls consumed approximately 8 to 10 hours per week across teams.

The Solution
I designed an hourly synchronization architecture that:
- Queried Salesforce for modified invoices
- Synced payments, payment plans, and payment activity
- Preserved relational links between accounts and contacts
- Routed data to the correct Airtable database per service team
- Processed only changed records to optimize API usage
The automation ensured that operational teams always had up‑to‑date billing information without needing to request it manually.
